Job Description

The Library is seeking applications for the position of Senior Library Specialist –OUL- Stewardship and Communication to work in the Rockefeller Library.  The successful candidate will be responsible for performing duties in support of the Library's external and internal relations in the areas of fundraising and communications. This is a full-time position working Monday through Friday as a member of the Library’s bargaining union staff.

Typical Duties and Responsibilities

Stewardship - 50%

  • Records, acknowledges, and tracks gift-in-kind donations to the Library
  • Maintains accuracy of data regarding donors of gifts-in-kind
  • Provides gift and donor information to Library and Advancement staff as required
  • Posts stewardship correspondence to FileMaker Pro donor database and Airtable  as required
  • Produces monthly reports detailing material gifts to the Library, and notes stewardship opportunities
  • Compiles data and creates/produces reports on donors and gifts as required
  • Communicates with Library staff about gift policies and procedures
  • Drafts text for standardized communications around gifts, both monetary and material
  • Works with Gift Accounting Department in Advancement and Library Advancement liaison officers to provide donors with the necessary acknowledgements and tax forms
  • Notifies Advancement's Biographical Records Department staff of new donor information that is obtained during the gift process
  • Accesses donor information in Phenix, the University’s Advancement-hosted donor database
  • Assists in the preparation, maintenance, and reconciliation of financial information on gifts (i.e. appraisals)
  • Creates electronic bookplates acknowledging new gifts as needed, in conjunction with Technical Services and the Library design specialist
  • Tracks gifts to Friends of the Library in Excel
  • Assists in preparation and production of Library donor publications and annual stewardship mailings
  • Produces bi-annual thank you and solicitation letters to Friends of the Library membership
  • Provides administrative support for Friends of the Library and Library Advisory Council meetings
  • Assists in a clerical capacity supporting Library events, promotions, meetings, and activities for the Library in general, Friends of the Library, Library Advisory Council, and other donor-related groups
  • Provides information for stewardship correspondence as needed
  • Drafts stewardship correspondence for review
  • Performs related duties as required

Communications - 50%

  • Drafts communications content for review by supervisor
  • Participates in the Library’s Social Media Task Force meetings and activities and fulfills clerical responsibilities including scheduling meetings and note taking
  • Works with the Social Media Task Force to develop a social media calendar
  • Maintains the social media calendar
  • Solicits content as directed for social media, the Library news blog, and monthly e-newsletter, and revises for publishing, working with the Library design specialist as needed
  • Posts approved content to social media channels including Facebook, Twitter, and Instagram
  • Participates in the BUL Sessions planning group
  • Tracks new and departing staff and manages headshot process
  • Drafts staff announcements for Carberry and the news blog
  • Creates contact lists for various purposes as needed
  • Monitors email accounts including gifts, University Librarian, Friends of the Library, and other relevant group email boxes, and replies to or triages messages
  • Provides clerical staffing for the Student Advisory Board
  • Provides support for Library website content, including participating in the website redesign project as appropriate
  • Researches promotional materials/swag
  • Takes notes and meeting minutes as requested
