Purpose of Position:
This position, under the general supervision of the Business Officer, will provide support to the
administrative staff within the Dean’s office and serve as the initial point of contact for visitors.
This position will also interact with and provide support to other library faculty and staff.
This position must exhibit a high level of customer service, communications, writing and
organizational skills for dealing effectively with administrators, faculty, staff, students, and the
public. High level professionalism and discretion is also required, as is the ability to maintain
confidentiality.
Primary Responsibilities:
Budget Support:
- Process professional development / travel documents for all library personnel
- Process supply orders
- Initiate purchase requisitions and payments through SAP
- Process and submit deposits to Student Account Services
- Communicate with the college’s academic coordinators in the processing of course
development payment information
Human Resources Support:
- Serve as time administrator
- Assist with on-boarding/off-boarding library employees
- Coordinate with search committees on interview scheduling / agendas and document
management of positions.
- Process travel reimbursements to candidates and external service providers
Administrative Support:
- Assist Associate Deans with scheduling meetings
- Create meeting agendas and meeting minutes
- Maintain library policies and procedures documents
- Plan and coordinate, in coordination with the Assistant to the Dean, various library functions and events
- Assist in establishing and maintaining an efficient and up-to-date records management system including digital records
Facilities Support:
- Schedule the use of various meeting rooms available within the library
- Maintain key inventory
- Submit online workers to Operations & Maintenance
- Provide support for maintenance of asset inventory, including staff-assigned devices, in collaboration with the Senior Associate Dean
Other duties as assigned
Qualifications:
- 2 years minimum experience
- Proficiency with Microsoft Office with emphasis on the advanced features of Word, Excel, PowerPoint, Outlook, and Teams. General experience and competence with computer software.
- Strong communication, organizational, administrative, and interpersonal skills are necessary, with commitment to customer service excellence.
- Capacity to perform in a high-intensity environment characterized by critical deadlines and changing priorities.
- Must be self-directed in performance of multiple and concurrent tasks and projects.
- High level of professionalism and discretion is required, as is the ability to maintain absolute confidentiality
