JOB SUMMARY
We are looking for a responsible Senior Executive Assistant to support our Library Executive Director in a timely and professional manner. You will provide high-quality administrative and clerical assistance.
The Senior Executive Assistant’s main duties include scheduling meetings, making travel arrangements and organizing daily calendars. To be successful in this role you should be proactive and highly organized, with excellent time management skills necessary to meet deadlines. It is equally important that you have the ability to communicate effectively, both verbally and in writing. Our ideal candidate also has previous experience in a Senior Executive Assistant role, and is familiar with office management technologies.
Ultimately, you should be able to anticipate, identify, and address the needs of senior level managers, and perform advanced administrative tasks to ensure our organization’s workflow runs smoothly.
ESSENTIAL JOB FUNCTIONS
- Supports the administrative needs of the Library Executive Director to include scheduling and confirming appointments (calendaring), taking meeting minutes, typing correspondence, following up on outstanding items, making copies/scans, faxing, etc.
- Organizes and attends Board meetings: Prepares agendas, assembles board packages, sends out correspondence to Library Board members, maintains records, provides communications with information to post on the Live Oak Public Libraries’ web page, and plans meeting logistics.
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting information and data. [Takes or transcribes accurate meeting minutes for dissemination.]
- Welcomes guests and customers by greeting them, in person or on the telephone; answers or directs inquiries.
- Conducts assigned research projects, and other multi-faceted assignments, to completion.
- Prepares reports by collecting and consolidating information.
- Files and retrieves library records, documents, and reports.
- Assists with logistical planning and organization of events such as meetings, luncheons, training events, etc.
- Arranges meetings and assists with travel reservations for staff as needed.
- Maintains the schedule for all conference and meeting rooms across LOPL locations.
- Maintains customer confidence and protects operations by keeping information confidential.
- Contributes to team effort by accomplishing related results as needed.
- Performs other related duties as assigned.
