Technical Services Assistant -- Acquisitions
Regis University
Under the direct supervision of the Technical Services Librarian, this position has a variety of functions within the Technical Services Department, with primary responsibility for all functions pertaining to ordering, receiving, claiming and paying for library monographic and media materials. Other duties involve knowledge of library operations, terminology and integrated library systems. Excellent written and verbal communication skills are required as is a willingness to work cooperatively with supervisor and colleagues.
Major Duties and Responsibilities
1. Ordering: 30%
Responsible for placing all library orders for monographs and media within appropriate time-frames, as defined in departmental policies. Process includes performing pre-order searching to determine duplicate titles and to determine vendor selection. Placing orders with established library vendors and recording orders in the current ILS by creating a brief bib and an order record.
Responsible for loading PromptCAT records from established vendors upon receipt of file and materials; overlaying brief bibs. Process includes identifying errors in the loading process and reporting those errors.
Responsible for monitoring outstanding orders and following up with vendors on open orders on a regular basis..
Responsible for monitoring approval plans. Process includes receiving materials; identifying duplicates; recording orders in the ILS; and returning items not selected.
Responsible for monitoring assigned fund balances to ensure that funds are not overspent.
2. Payments: 30%
Responsible for paying invoices. Process includes paying invoices in the currentILS; coding invoices with proper accounts payable information; and recording invoice payments in reconciliation spreadsheet.
Responsible for importing invoices from established vendors. Process includes monitoring the loading process; identifying and fixing any financial discrepancies; and maintaining the current order number information for the annual EBSCOinvoice.
Performs daily posting; manages posting log; and prints posting reports. Reviews posting reports for errors and reports errors to Technical Services Librarian.
3. Receiving: 20%
Responsible for receiving library materials. Process includes opening boxes and verifying the contents against packing lists. Inspecting materials for damage. Working with vendors to resolve issues surrounding damaged or missing merchandise. Separating and distributing materials to various areas of department based upon items being pre-cataloged and items requiring cataloging.
4. Government Documents: 10%
Responsible for loading Marcive records into the current ILS both weekly and monthly. Responsible for receiving all documents materials; physical processing on all documents materials; and shelving all documents materials. Process includes maintaining integrating resources; monitoring superceded lists to maintain the collection; and extensive involvement in documents weeding projects.
Minimum Qualifications
High School Diploma or GED.
2-3 years of related experience
Highly attentive to detail.
Accurate keyboarding/computer skills.
Solid knowledge of arithmetic.
Solid knowledge of the English language: grammar, punctuation and correspondence forms.
Solid knowledge of email products and internet use.
Strong knowledge of Microsoft products.
Working knowledge of office equipment such as photocopies and adding machines.
Knowledge of general office procedures, such as filing.
