An employee in this position manages the technical services department which is responsible for all acquisitions, cataloging, and processing operations for all branches of the library system.
Employee performs advanced, professional cataloging and classification of all material formats, oversees acquisitions and supply budgets, directly supervises the Librarian I and the Library Associate in the department, maintains the accuracy of data in the Integrated Library System (ILS), and participates in various committees.
- Copy bibliographic records from Online Computer Library Center, apply locally established edits, assign Dewey Decimal classification number and download into the library’s Integrated Library System. Create original catalog records when an existing record cannot be found in OCLC, following established Resource Description and Access rules. Must also be familiar with Anglo-American cataloging rules. Keep abreast of changes in cataloging rules and methods and train the other cataloger in the department. Be the final arbiter on all cataloging issues. Maintain name and subject authority control records in the ILS. Ensure integrity of the ILS through the development of system procedures for the addition, deletion, and editing of bibliographic and item records. Provide detailed cataloging and processing instructions to our primary vendor and report errors/problems as they occur.
- Manage the overall work of the department and make plans for future developments. Train, supervise and evaluate supervisees’ performances according to established library and county policy.
- Create various databases that facilitate and/or track the work of the department, input and update the data, and create queries and reports on that data. Utilize various canned reports supplied by ILS. Create reports as requested by collection management and other library departments.
- Manage the overall ordering process; create and maintain vendor records in the ILS, set up and maintain electronic data interchange (EDI) specifications in the ILS and on various vendors’ websites, ensuring that they work smoothly in conjunction with the ILS. Manage orders on various vendor websites and download them into the ILS. Work with the collection manager to create the yearly book & audiovisual budget. Set up and manage fund accounts in the ILS, create a fund summary for distribution to various staff. Solicit and evaluate bids for purchase of books, audiovisuals, and serials. Create manual orders, merge duplicate bibliographic records, and create brief bibliographic records in the ILS when necessary.
- Troubleshoot problems that occur with the ILS as it pertains to acquisitions, cataloging, and serials; fix those problems when possible or report them to the State Library. Troubleshoot and correct problems with other software/programs.
- Monitor the ILS as a member of the Cardinal Task Force committee which handles library automation planning and implementation. Provide feedback to Cardinal consortium and participate on Cardinal Listservs and committees when appointed. Participate in library councils and committees as appropriate. Provide classroom instruction to library staff on how to use the ILS efficiently. Read professional journals to keep current with the profession. Attend conferences and workshops to learn new cataloging rules, new technologies, new processes, etc.
- Cover duties performed by other members of the technical services department during absences or vacancies.
- Unpack and check shipments against the packing slips. Receive materials electronically as shipments come in. Create invoices and vouchers for payment of materials received.
- Physically process the materials for use by staff and the public (labeling, taping, stamping, applying security devices, etc.). Create item records in the ILS (bar codes, item classification, price, location, circulation parameters, etc.).Sort the materials for distribution to the appropriate library branch.
- Other duties as assigned.
Extensive knowledge of online cataloging, including the Dewey decimal classification system, MARC (Machine readable cataloging) formats, AACR2 (Anglo-American) cataloging rules, Library of Congress subject headings, FRBR (functional requirements for bibliographic records, and RDA (Resource description and access) rules.
Six months supervisory experience preferred. Twelve months library cataloging and acquisitions experience preferred.
